Privacy Policy for Nordic-Baltic Committee on Food Analysis (NMKL)

This privacy policy statement applies to those who visit https://www.nmkl.org and is meant to assist in understanding how NMKL collects, uses, and protect your information, and maintain your privacy rights.
By using NMKL products and services you agree to be bound to the current NMKL Privacy Policy Statement version which is the one published on our website. NMKL, by the NMKL executive director and the host institution Institute of Marine Research (Org. 971349077, P.O. box 1870 Nordnes, N-5817 Bergen, Norway), is the data controller for the processing of personal data.
The statement contains information that you are entitled to when information is collected from our website and general information about how we process personal data. The anonymous data and personal data that you provide through interaction with our website may be shared among members of NMKL both to comply your respective request and to improve our services.
The website is powered by WordPress content management system and administered by the NMKL secretariat which is the executive director and the secretary.

What information does NMKL collect and why
Each time you visit our website we collect anonymous information that cannot be traced to a specific individual. For example, we collect information about what sections of the website are most popular and how many visitors come to our site. You do not need to subscribe before we can collect this information which is used to improve our website and our services.
Personal data may be created by your interactions with the website. You are only required to provide personally identifiable information if you want to take advantage of products and services provided through our website. It is voluntary to provide personal data in connection with services, such as subscribing, receiving newsletters, or filling in and submitting forms.
NMKL may then collect, store, and use the following information about you: your name, contact information (such as your email address, physical address, etc.), unique identifiers, purchasing or payment information, subscription preference, information collected about your use of NMKL services and products, as well as any additional information you may provide to us. The data shown on the user profile screen from registered users and the data that you voluntarily submit to NMKL is stored and used according to the intension why it was collected.
Cookies
The NMKL webpage uses cookies. Cookies are small text files that are placed on your computer when you visit a website. The purpose is both to make the user experience better for you by keeping the website remembering your settings, which pages you have read, login and any usernames and other information that you have entered and want the website to remember. If you have a user account and log in, we will create a temporary cookie to determine if your browser accepts cookies. This capsule contains no personal data and will be removed when you close your browser. However, when you log in, we create several cookies to store your login information and display settings. You can set your browser to refuse all or some browser cookies but that can cause loss functionality for some of the services on the webpage.
Single purchase and subscription of NMKL publications
The NMKL publications are sold through the NMKL web shop provided by the WooCommerce toolkit which is a part of WordPress. Subscribers are given a subscription number, a login and password which enables access NMKL publications. When you purchase a publication or sign a subscription you share personally identifiable information with us, including your name, mailing address, the publications you purchased, the purchase total and your billing information. We use this information for purposes, such as, to:
- Send you information about your account and order
- Respond to your requests, including refunds and complaints
- Process payments and prevent fraud
- Set up your account for our store
- Comply with any legal obligations we have
- Improve our store offerings
- Allow for populating checkout for future orders
NMKL shares the information required to process and support your payment with the third-party payment provider Stripe. Stripe provides an economic infrastructure for the internet to businesses of all sizes to accept payments and manage their businesses online and has a strict privacy policy. The NMKL secretariat handles subscriptions and orders. You might be asked if you have comments to the publications that you bought such that we can improve our services.
NordVal International
NMKL collects information about the NordVal International customers and the expert laboratories as shared by those involved in application forms, by email correspondence and through invoicing processes. Please read the NordVal International Terms and Conditions for the agreement and confidential handling. The NordVal International reviewers sign independence and confidentiality. NMKL keeps information confidential except for the agreed contents for the certificate which is public and freely available. NMKL stores the information about the customer, expert lab and certification process as long as you as a customer has alternative method (s) certified by NordVal International. The information about a customer and the alternative method is confidential even after contract termination and may be stored for 10 years due to traceability and if any legal claims.

When you contact us via the forms, and through post@nmkl.org, the information you provide is stored and available to NMKL. We store the information in our system for as long as it is needed, according to the nature of the request, and may be shared internally in NMKL to address your request and improve our services. The information you provide is not used for marketing purposes.
NMKL Newsletter
When subscribing to receive NMKL News newsletters by providing your email address, we only store you email address for the purpose of sending you the newsletters. We do not distribute the email addresses or use them for other purposes. The newsletters are sent from post@nmkl.org using the third-party Intuit Mailchimp software. Statistics data are collected by Mailchimp for NMKL such as if the email address is valid, if the email was opened, if the newsletter was opened from the email and if you unsubscribe. Furthermore, statistics about geographical interest is collected.

Newsletters from NMKL News No. 104 and forth are published using Microsoft Sway. A hyperlink to the newsletter is provided on our website and by emails. Microsoft sway collects anonymous analytics about number of views and time/completion of the viewings.

Events
Gathering of personal information (GDPR General Data Protection Regulation)
When you contact us/ sign up for an event using a form at nmkl.org website, the information you provide is stored and available to NMKL hosted by Institute of Marine Research, Bergen, Norway. We store the information in our system for as long as it is needed according to the time of the request/event, and the information may be shared internally in NMKL to address your request. The information you provide is not used for marketing purposes.
We are obligated to look after the personal information you give us when you sign up for one of our events. We ask for your personal data in conjunction with the event to give you the best possible service according to you wishes and needs.
Everyone who asks has the right to get information about the general treatment of the personal data within a company (Norway: Personopplysningsloven § 18, 1. Ledd). Those that are registered have the right to see their own data, and to ask that the data is to be corrected, supplied or deleted. Demands from the registered person are to be answered free of charge within 30 days.

Pages and articles on this website may contain content (e.g. videos, image, articles, social media sharing, hyperlinks etc.) from other websites. Such embedded content from other websites works just as if you had been on the other websites. These websites may collect data and may be tracking how you interact with embedded content, according to their respective privacy policies, if you have a user account and are logged into that website.
Analytics
We use the tool Pirsch, a cookie-free, and open-source web analytics solution to monitor visits on our homepage. No data can identify you as a person. The purpose of this is to compile statistics that we use to improve and further develop the information offered on the websites.
Who we share your information with
If you fill out the form on the website, the data you fill in, along with the time and IP address, will be sent to us by email, in addition to being stored behind encrypted login in our form tool. Data submitted via form is stored on the server of our data processor, who has a duty of confidentiality and with whom we have a data processing agreement.
How long we store your data
NMKL has security measures such as firewalls in place to protect against loss, misuse, or alteration of your user data under our control. We store information about the users who register for as long as they wish to have user access themselves. All users can change, and delete their personal data at any time, but they cannot change their username. NMKL secretariat can also view and change this information. If you have sent us information or have a customer relationship with us, we will store the information for as long as necessary in order to provide the services to you. We occasionally keep the data even after we have finished, or process your request, to view the history and thus better be able to help you on subsequent occasions. We generally store information about you for as long as we need the information for the purposes for which we collected and use it, and we are not legally required to continue to keep it. For example, we will store order information for 10 years for tax and accounting purposes. This includes your name, email address and billing addresses.
What rights you have over your data
If you have a user account you can request an export policy with all the personal data we have about it, including all the information you have provided to us. You can also request that we delete any personal data we have about you. However, this does not apply to data we must store for administrative, legal or security reasons.
Under the General Data Protection Regulation (GDPR) in EU and EAA you have the following rights:
- Access: you may receive information about our processing of your personal data and a copy of your personal data.
- Correct: you may request us to update or correct inaccurate data we have about you.
- Delete: you may ask us to delete your personal information.
- Opt-out: you may change your newsletter subscription setting at any time and stop receiving any communications as described above.
- Transfer: you may ask us to transfer your personal data in a machine-readable format to a third party of your choice.
- Restrict: you may ask us to restrict the processing of your personal information under certain circumstances.
- Object: you may object to our reliance on our legitimate interest as the basis of our processing if you believe it impacts your fundamental rights and freedoms.
- Complain: you have a right to submit a complaint to the supervisory authority in the country which you are located.
